SmartAdvocate Write-back

Overview

The SmartAdvocate write-back pushes medical visit and billing data reviewed in Eve into SmartAdvocate, so the same figures are not keyed in twice.

It runs from the matter, after the records have been reviewed. Nothing is written until a preview has been shown and confirmed.

What Gets Written

  • Medical visits and treatments: date of service, provider, facility, visit type, and visit notes covering complaints and limitations, diagnosis and ICD codes, and the treatment plan.

  • Billing: bill date, total billed amount, adjustments, and payments.

How Providers Are Matched

Each provider is matched to an existing SmartAdvocate contact so the sync does not create duplicates. A confident match is linked to the firm-wide contact automatically. Anything Eve cannot resolve is flagged for a person to choose.

The flagged ones are worth reading rather than clearing quickly. A provider linked to the wrong contact is harder to find later than one that was never linked.

What Protects the SmartAdvocate Data

  • Nothing is deleted. The sync never removes an existing SmartAdvocate record. Where Eve data conflicts with one, the conflict is shown and the replacement has to be approved.

  • Records are tracked individually. A bill or record that exists in SmartAdvocate but not in Eve is left alone.

  • Updates are shown side by side. The current SmartAdvocate value sits next to the proposed change, marked as an addition or a replacement.

What the Write-back Does Not Do

  • There is no rollback. Once a sync is pushed it cannot be undone, which is what makes the preview the real review step rather than a formality.

  • It does not run on its own. Every write is started and confirmed by a person.

  • It does not replace the lead sync. That is a separate integration covering intake, not medical data.
