Clio Files Not Appearing in Eve Matter

Overview

This article resolves the symptom where files from Clio are missing or not showing up in your Eve Matter's Clio File Management section. This can occur when files exceed Eve's sync limits for file count, file size, or file type. It affects your ability to reference or work with Clio documents in Eve sessions and tasks.

Before You Start — Diagnosis

Confirm the following before attempting any fixes:

  • The file exists in Clio and is associated with the correct matter

  • You have completed a re-sync of the Matter in Eve (use the re-sync button in the Matter header)

  • The file is one of the supported types: PDF, Word document, or image with significant text

  • The file is under 500MB in size

  • The Matter has fewer than 20,000 supported files total in Clio

Fixes

Possible Cause: File Type Not Supported

Cause: Eve only syncs PDFs, Word documents, and images with significant text from Clio. Other file types (spreadsheets, audio, video, unsupported image formats) are not imported.

Steps:

  1. Check the file type in Clio

  2. If the file is not a PDF, Word doc, or text-heavy image, convert it to a supported format in Clio or upload it directly to the Eve Files section of your Matter

  3. If uploaded directly to Eve, note that the file will appear in the Eve Files section, not Clio Files, and will not sync back to Clio

Expected Outcome: Supported file types appear in the Clio Files section after the next sync. Files uploaded directly to Eve appear immediately in the Eve Files section.

Possible Cause: Individual File Exceeds 500MB Size Limit

Cause: Eve cannot sync individual files larger than 500MB from Clio, even if they are a supported file type.

Steps:

  1. Check the file size in Clio

  2. If the file is over 500MB, reduce the file size in Clio (compress, split into multiple files, or reduce resolution for images) and wait for the nightly sync, or use the re-sync button

  3. Alternatively, upload a compressed version directly to the Eve Files section of your Matter

Expected Outcome: Files under 500MB appear in Clio Files after sync. Files uploaded to Eve appear in Eve Files immediately.

Possible Cause: Matter Exceeds 20,000 File Limit

Cause: Eve syncs up to 20,000 supported files per matter from Clio. If your Clio matter contains more than 20,000 PDFs, Word docs, and text-heavy images combined, files beyond this limit will not appear in Eve.

Steps:

  1. Review the total number of supported files in your Clio matter

  2. If you have exceeded 20,000 files, identify which files are most critical for your Eve workflow

  3. Either archive or remove less critical files in Clio to bring the total under 20,000, or upload the specific files you need directly to the Eve Files section

  4. Use the re-sync button in the Matter header after making changes in Clio

Expected Outcome: After reducing the file count in Clio below 20,000 and syncing, the most recently added supported files appear in Eve's Clio Files section. Files uploaded directly to Eve appear in Eve Files immediately.

Possible Cause: File Added to Clio After Last Sync

Cause: Clio data syncs to Eve automatically overnight. Files added to Clio during the day will not appear in Eve until the next nightly sync unless you manually re-sync.

Steps:

  1. Click the re-sync button in the Matter header at the top of your Eve Matter

  2. Wait for the sync to complete

  3. Check the Clio Files section for the newly added file

Expected Outcome: Files added to Clio since the last sync now appear in the Clio Files section of your Matter.
